How much does a wedding venue cost in Abilene, Texas?

The Meadows Wedding Venue near Abilene starts at $2,995 for venue-only, with all-inclusive packages combining venue, photography, and catering going up to $5,395. How far in advance should we book The Meadows?

Most couples book their date at The Meadows Wedding Venue near Abilene 9 to 12 months out, especially for peak spring and fall dates. Popular Saturdays fill up fastest since we only host one wedding per week. Reaching out early gives you the best shot at your preferred date and season.

What holds our date once we decide to book?

A first payment of $1000 is required to secure your wedding date at The Meadows. Once that's in place, your date is yours and we start the planning process together, including scheduling your decor appointment as part of your package. We'll walk you through the full booking process during your tour so there are no surprises.

What happens after we submit an inquiry?

We'll reach out to schedule a tour of the property, where you'll see the Celebration Hall, Outdoor Chapel, Brides Cabin, and Wedding Oak in person. During the tour we talk through packages, availability, and any questions specific to your wedding. Vera always has her phone with her so she can answer a brides text right away.

How long does the whole planning process take from booking to wedding day?

The timeline depends entirely on when your wedding is booked, but our Day-of Director, stays involved from the night before your wedding through the end of your reception at 11pm. That includes rehearsal coordination and being the point of contact between you and any outside vendors. It's built to take the planning weight off your shoulders, not add to it.

What comes with every wedding package at The Meadows?

Every package includes the venue, a Day-of Director, full setup and cleanup, and access to our extensive on-site décor inventory. Photography and catering packages add our two-photographer team (Danny and Vera) and Chef Dustin's Le Cordon Bleu-trained catering. Nothing about turnkey is exaggerated here. Most couples don't need to rent a single extra item.

Do we get a Day-of Director included, or is that extra?

A Day-of Director is included in every single package at no additional charge, which isn't something every venue in Abilene offers. Your Day-of Director oversees your wedding from rehearsal the night before through the end of your reception at 11pm. She also coordinates with any outside vendors you bring in, so you're not the one fielding phone calls on your wedding day.

How does the two-photographer system work?

Danny and Vera work as a team during your wedding, with Danny positioned near the altar for close-up shots and Vera capturing wide angles from the back. During posed group photos, Vera poses your guests while Danny shoots, which saves real time on your timeline. Edited photos are delivered within a week, and social video content clips are included at no extra charge.

Is there a private space for the bride to get ready?

Yes, the Brides Cabin is included in every package as a private, on-site getting-ready space with a full-length mirror, vanity, and bouquet display area. It's designed so you have quiet, dedicated space before the ceremony starts. Grooms typically get ready in a separate area on the property as well.

Where is The Meadows Wedding Venue located?

The Meadows Wedding Venue sits just outside Abilene, Texas, between Eula and Abilene in the Big Country region of West Texas. We regularly host couples traveling in from Midland, San Angelo, Sweetwater, Lubbock, and the DFW area, often because they have family roots in Abilene. The rural setting gives you wide-open Texas sky without being hard to find.

What happens if it rains on our wedding day?

Our Celebration Hall serves as a full indoor rain-plan option, a 3,600-square-foot space with a country-church feel that works for both ceremony and reception. You don't need a separate backup vendor or tent rental since it's already part of the property. Couples planning outdoor ceremonies at the Pergola or Outdoor Chapel can shift indoors with no scrambling.

How many guests can The Meadows accommodate?

Our catering packages are built around up to 100 guests, with additional guests accommodated at $14 per plate beyond that. Our maximum overall guest capacity for ceremony and reception space is 200. We can talk through your specific guest count during your tour to make sure the space fits your day comfortably.

Do you have outdoor and indoor ceremony options?

Yes, we have two distinct ceremony locations: the Outdoor Chapel with a native Texas wildflower meadow backdrop, and the Celebration Hall for an indoor, country-church-style ceremony. The Pergola is also a popular outdoor option, featuring year-round artificial turf, which is something you won't find at other venues in the Big Country. Having multiple locations means you're not locked into one look regardless of weather or season.

What makes The Meadows different from other Abilene venues?

The Meadows is a family-run venue where the same family handles your venue, photography, and catering, so you're not coordinating between three separate vendors. Danny has been a photographer since 1979, Vera and Donna serve as Wedding Directors, and Chef Dustin trained at Le Cordon Bleu. We've never planned a wedding before. Can you help us figure out what we need?

Absolutely, and honestly most of our couples are first-time planners. Our All-Inclusive package is built specifically so you don't have to know what you're doing, since venue, photography, catering, décor, and a Day-of Director are already bundled together. Past couples have told us the packages were “a complete lifesaver for stress and cost” specifically because of that.

What if we need to change our date after booking?

You need to start a new contract for the new wedding date with a new first payment. We understand life happens, and we'd rather talk through options with you directly than leave you guessing. Reach out as soon as you know so we can look at what's available. If we are able to re-book your initial date, your booking payment is returned to you.

Are you a currently certified professional photographer?

Danny has been a working wedding photographer since 1979 and earned Certified Professional Photographer (CPP) status in 1988, though he is not currently an active CPP member today. What that experience gives you is decades of hands-on knowledge of this exact property, including where the light hits the Wedding Oak at golden hour. Vera, our second photographer, is also an award-winning photographer, so your wedding is covered by two experienced shooters, not one.

1. Is my preferred date available, and what is our exact time window?

You need to know more than just the calendar date. Ask exactly when your vendors (like florists and decorators) can arrive to start setting up, and what time your party must end. Make sure to clarify if setup and tear down hours are included in your rental time or if they require an extra fee.

At the Meadows, your rental starts the day before your ceremony for the wedding rehearsal. We recommend setting the time of the rehearsal at the same time as the ceremony, so that you experience the exact lighting during the outdoor ceremony. Bring your dress, veil, and everything you will need for your ceremony 2 hours before your rehearsal to get settled in the bridal cabin. If you forget something, you can bring it the next morning.

2. What is the true guest capacity?

The space might technically fit 200 people standing, but can it comfortably seat them for a plated dinner with room for a dance floor? Always ask for the comfortable capacity, and verify if there’s a guest count or spending minimum required for specific days of the week.

At the Meadows, we can comfortably seat 200 people for a seated dinner without touching the dance floor. There is no minimum guest count.

3. What exactly is included in the venue rental fee?

Never assume! Some venues provide just an empty room (a "blank canvas"), while others offer a more comprehensive experience. Ask directly: Are tables, chairs, and linens provided? Is there an additional fee to hold the ceremony on-site, or does the fee cover the entire day?

At the Meadows Wedding Venue in Abilene, you get your choice from 3 outdoor ceremony locations: the Pergola, the Outdoor Chapel, or the Oak Tree. Celebration Hall is a 3600 square foot indoor facility perfect for both an indoor wedding ceremony and reception, dinner, and dance. All our wedding venue ceremony spaces include white folding chairs, a sound system with a microphone, decorative signs, and silk flower decorations on the aisle markers, archway, and altar. We do all setup. Silk flower bouquets are available for the bride and bridesmaids, along with flower girl baskets and ring bearer pillows.

The use of our Brides Cabin for dressing is included, as well as a room for the groom. A wedding “Day of Director” is provided for an hour to run the rehearsal and up to 5 hours to manage details on your wedding day, making your event as stress-free as possible. Your event concludes at 11:00 PM, and we handle all setup, decorating, and cleanup of ceremony and reception spaces.

Your reception space includes: custom lighting, a sound system with a microphone, tables & chairs, tablecloths, installation of linens, your choice of over 40 colors of table toppers and runners, decorative signs, a selfie station with props, cake knives, toasting glasses, and table décor (hundreds of items), including centerpieces, silk flowers, pearls, lanterns, greenery, mirror tiles, wood slabs, votive cups, LED candles, mason jars, flower vases, and total cleanup after the wedding.

4. What is the catering and alcohol policy?

Food and drink will be a major part of your wedding day experience. Find out if the venue requires you to use an exclusive in-house caterer, choose from a strict preferred vendor list, or if you can bring in anyone you like. The same applies to bar service—can you bring your own alcohol to save costs, or must it be purchased directly through the venue?

At the Meadows, we have an excellent in-house chef, Chef Dustin. While you are not required to use him, any caterer serving food at the Meadows must provide proof of liability insurance one month prior to serving here. If alcohol is being served (beer, wine, or premixed drinks like a White Claw), our security guard is required at $50 per hour with a 3-hour minimum paid at the end of the evening. If liquor is served, a TABC certified bartender is also required; we can make recommendations. No BYOB allowed! The bride and groom must provide alcohol; guests cannot bring their own.

5. What is the Weather Contingency Plan (Plan B)?

If you are dreaming of an outdoor ceremony, having a solid backup plan is essential. Don't just ask if they have one—ask to see the indoor or covered alternative during your tour. Find out how quickly the venue staff can transition the space if unexpected rain rolls in just before you walk down the aisle.

At the Meadows, our 3600 sq.ft. Celebration Hall serves as your ceremony backup location and can be set up for an indoor ceremony in about 20 minutes.

6. Are there private, separate spaces for both wedding parties to get ready?

Having spacious, climate-controlled, and beautiful suites on-site makes your wedding morning much more relaxed. Check how early you can access these suites and whether they are included in your standard booking package.

At the Meadows, we offer a brides cabin with dressing tables and makeup lighting for the bride and separately for the bridesmaids. There is also a grooms room for the groom and groomsmen.

7. Are there any strict decor or noise restrictions?

Every venue has rules to keep guests safe and maintain the property. If you have your heart set on an epic sparkler exit, open-flame candles, hanging floral installations, or a live band playing late into the night, make sure the venue's guidelines and local noise ordinances allow for it.

At the Meadows, décor restrictions include: no attaching anything to the walls that could damage them. Open flame candles are not permitted—only LED candles. Do not remove any signage or artwork from walls. We love live bands, but music must conclude by 11:00 PM.

8. What is the parking and accessibility situation?

Consider your guests' experience from the moment they arrive. Is there ample, complimentary parking on-site? Is the property easily navigable for elderly guests or loved ones with mobility restrictions? Clear signage and easy transitions between the ceremony and reception spaces can make a world of difference.

At the Meadows, we recommend dropping off elderly or physically disabled guests at the circular drive near the beginning of the ramp.

9. Who will be our main point of contact on the wedding day?

Often, the coordinator who gives you the initial tour isn’t the person on-site on your actual wedding day. Ask if there will be a dedicated venue manager present during the event to oversee the facilities, manage venue staff, and assist your vendors.

At the Meadows, there is a dedicated “day of wedding” director for your event. She will conduct your wedding rehearsal and direct your ceremony on the big day, ensuring your food is at your table when you enter the reception and overseeing details throughout.

10. What is the payment schedule and cancellation policy?

Get a clear, transparent breakdown of the financial commitment. How much is the initial deposit to lock in your date? When are remaining payments due? Are there hidden fees, service charges, or taxes not included in the baseline quote? It’s also vital to understand their policy regarding emergencies or unexpected postponements.

At the Meadows, your first payment of $1000 is due when you sign your contract. A second payment of $1000 is due about halfway between your signing and your wedding day. The final payment of the remainder is due one month before your ceremony date, along with a $500 damage deposit.

Our cancellation policy is as follows: If we can re-book your date at an equal or greater amount, we will refund your deposit. The earlier you notify us and release the date in writing, the quicker we can make it available for re-booking.
