You need to know more than just the calendar date. Ask exactly when your vendors (like florists and decorators) can arrive to start setting up, and what time your party must end. Make sure to clarify if setup and tear down hours are included in your rental time or if they require an extra fee.
At the Meadows your rental starts the day before your ceremony, for the wedding rehearsal. We recommend setting the time of the rehearsal at the same time as the ceremony, so that you may see exactly what the lighting will be like during the outdoor ceremony. We recommend that you bring out your dress, veil and everything you will need for your ceremony 2 hours before your rehearsal and get it situated in the bridal cabin. If you have forgotten anything, you can bring it with you the next morning.

At the Meadows we can comfortably seat 200 people for a seated dinner without touching the dance floor. There is no minimum guest count.
Never assume! Some venues provide just the empty room (a "blank canvas"), while others provide a more comprehensive experience. Ask directly: Are tables, chairs, and linens provided? Is there an additional fee to hold the ceremony on-site, or does the fee cover the whole day?
At the Meadows Wedding Venue Abilene you get your choice from 3 outdoor ceremony locations; the Pergola, the Outdoor Chapel, or the Oak Tree. Celebration Hall is a 3600 square foot indoor facility perfect for an indoor wedding ceremony and reception, dinner and dance. All our wedding venue ceremony spaces include white folding chairs, a sound system w/microphone, decorative signs, and silk flower decorations on the isle markers, archway and altar. We do all set up. Silk flower bouquets are available for the bride and bridesmaids as well as flower girl baskets and ring bearer pillows.
The use of our Brides Cabin for dressing is included as well as a room for the groom. A wedding “Day of Director” is included for an hour to run the rehearsal and up to 5 hours to tend to details on the wedding day making your wedding as stress-free as possible. Your event is over at 11:00pm. We do all set up, decorating and cleanup of ceremony and reception spaces.
Your reception space includes: custom lighting, a sound system w/microphone, tables & chairs, tablecloths and installation of linens, plus your choice of over 40 colors of table toppers and runners, decorative signs, a selfie station w/props, cake knives, toasting glasses, and table décor(hundreds of items) including table centerpieces, silk flowers, pearls, lanterns, greenery, mirror tiles, wood slabs, votive cups and LED candles, mason jars, flower vases and total clean up after wedding.
4. What is the catering and alcohol policy?
Food and drink will be a major part of your wedding day experience. Find out if the venue requires you to use an exclusive in-house caterer, choose from a strict preferred vendor list, or if you can bring in anyone you like. The same goes for bar service—can you bring your own alcohol to save on costs, or must it be purchased directly through the venue?
At the Meadows we have an excellent in house chef, Chef Dustin, you are not required to use him, but whoever serves food at the Meadows is required to provide proof of liability insurance on month prior to serving here. If alcohol is being served(beer, wine, or premixed drinks like a white-claw)our security guard is required. He is paid $50 per hour with a 3 hour minimum paid at the end of the evening. If liquor is being served, a TABC certified bartender is also required. We can make recommendations. No BYOB! Bride and groom must provide alcohol, guests cannot bring their own!
If you are dreaming of an outdoor ceremony, a solid backup plan is non-negotiable. Don't just ask if they have one—ask to seethe indoor or covered alternative during your tour. Find out how quickly the venue staff can transition the space if unexpected rain rolls in an hour before you walk down the aisle.
At the Meadows, our 3600sq.ft. Celebration Hall is your ceremony backup location. It can be set up for an indoor ceremony in about 20 minutes.
Having spacious, climate-controlled, and beautiful suites on-site makes your wedding morning infinitely more relaxed. Check how early you are allowed to access these suites and whether they are included in your standard booking package.
At the Meadows, we have a brides cabin with dressing tables and makeup lighting for the bride and separately for the bridesmaids. There is a grooms room for the groom and groomsmen.
Every venue has rules to keep guests safe and preserve the property. If you have your heart set on an epic sparkler exit, open-flame candles, hanging floral installations, or a live band playing late into the night, make sure the venue's guidelines and local noise ordinances actually allow it.
At the Meadows, décor restrictions include: no attaching anything to the walls that will in anyway damage the wall. Open flame candles are not permitted, led candles only. Do not remove any signage or art work from walls.
Think about your guests' experience from the moment they arrive. Is there ample, complimentary parking on-site? Is the property easily navigable for elderly guests or loved ones with mobility restrictions? Clear signage and easy transitions between the ceremony and reception spaces make a world of difference.
At the Meadows we recommend that you drop off elderly or physically disabled guests at the circular drive near the beginning of the ramp.
Often, the coordinator who gives you the initial tour isn't the person on-site on your actual wedding day. Ask if there will be a dedicated venue manager present during the event to oversee the facilities, manage venue staff, and assist your vendors.
At the Meadows, there is a dedicated “day of wedding” director for your wedding. She will conduct your wedding rehearsal and direct your ceremony on the wedding day. She will make sure your food is at your table when you come into the reception and see to the details during the reception.
Get a clear, transparent breakdown of the financial commitment. How much is the initial deposit to lock in your date? When are the remaining payments due? Are there any hidden fees, service charges, or taxes not included in the baseline quote? It's also vital to understand their policy regarding emergencies or unexpected postponements.
At the Meadows your first payment of $1000 is due at the signing of your contract. A second payment of $1000 is due about halfway between your signing and your wedding day. Final payment of the remainder due is required one month before the ceremony date along with a $500 damage deposit.
Our cancellation policy is as follows; If we can re-book your date at an equal or greater amount, we will refund your deposit. The earlier you notify us and release the date in writing, the quicker we can make the date available for re-booking.
